How Advocate work flows in the app.
Reusable work items and rates used when building quotations and invoices.
Name of the legal work or service (e.g. “Drafting of petition”, “Appearance — District Court”).
Default fee for this work item. When selected on a quotation line, the amount is filled automatically and can still be edited.
Reusable templates applied into “Points to be noted” on quotations and invoices.
Short name shown in the “Apply terms” dropdown (e.g. “Standard engagement terms”).
Rich-text content (bullets, bold, etc.). Selecting the template on a quotation/invoice copies this into Points to be noted; you can edit after applying.
Main header of Create / Edit Quotation.
Quotation date. Shown on the listing, board, and PDF.
Name of the client / party for whom the quotation is prepared.
Client phone. Typing an existing mobile can auto-fill name and address from the last quotation for that number.
Address printed on the PDF under the client block.
Who referred the matter (or any internal reference). Searchable on the quotation list filter and shown on the board card / PDF.
Rich-text subject / matter title. Appears on the PDF under the client details.
Workflow stage for the matter:
Change from the form, list dropdown, or by dragging the card on the Board.
Rich-text notes / terms printed at the bottom of the PDF. Use Apply terms to fill from a Terms & Conditions template, then edit freely.
At least one line with description and amount > 0 is required.
Serial number of the line on the form and PDF.
Search existing master items or type freely. Selecting a master fills the amount.
Extra note for that line. On PDF it appears under the description in smaller text as (remark).
Fee for this line. Sum of amounts becomes Sub Total.
Optional advances / receipts against the quotation (or invoice). Empty rows are ignored.
Amount received. Total of all payments cannot exceed Final Amount.
Note for the payment (e.g. “Advance on brief”).
Mode of payment (Cash, UPI, Cheque, NEFT, etc.). Shown on the PDF payment section.
Amount Received = sum of payments. Remaining Balance = Final Amount − Amount Received. Both appear on list, board, and PDF.
Charges and calculated figures on quotation / invoice.
Amount subtracted from Sub Total before tax (discount / round-off).
Tax rate: No Tax, GST 5%, 12%, 18%, or 28%. Tax is calculated on (Sub Total − Round Off).
Extra charge added after tax into the final total.
Calculated automatically:
Track quotations visually and in a table.
Three columns: In Progress, Running, Closed. Drag a card to change status. Drag within a column to reorder.
Shows client, date, reference, work summary (short description of lines), created-by user, amounts / balance, and actions (edit, invoice, PDF, delete).
Filter quotations by Client, Reference Name, From/To Date, and Status.
Invoice form matches quotation. Status is not used on invoices.
Invoice date (defaults to today when created from a quotation).
Shown when you use the receipt/invoice action on a quotation. Client, lines, subject, points, payments, and charges are copied; you can edit before saving. One active invoice per quotation.
Client Name, Mobile, Address, Reference Name, Subject, Description of Work lines (Description, Remark, Amount), Points to be noted / Apply terms, Payments (Amount, Remark, MOP), Round Off, GST %, Transport, and auto totals.
Use Create Invoice from the Invoices menu for a standalone invoice (no Quotation link).
List and download documents.

Company logo & details, QUOTATION #, date, client, subject, work lines (remark under description), totals, payments & balance, points to be noted.
Same layout as quotation PDF, titled INVOICE #, with optional “Against Quotation #…” when linked.
Soft delete — item leaves listings but can be restored by database if needed. Deleting an invoice can bring the related quotation back to the quotation list/board.
